A manageable Digital Asset Information Model
BIM is generally considered to be about new-build, but the main driver was to improve the quality and structure of information about all assets, new and existing, to enable more efficient management. Activeplan combines expertise and tools to reverse-engineer as-built records to create a manageable Digital Asset Information Model.

ActivePlan applications

There are two levels of applications, the platform that can be used across all projects and project-based applications.

Platform – Templater

This is a tool to create standardized data templates for facilities, spaces, systems and assets.
It enables experts from the wider industry to collaborate and share expertise to arrive at optimized data sets for any asset type.

It provides access to multiple template types with implementation of the buildingSMART IFC 4x schema including IFC Types, Property Sets, Quantity Sets and attributes along with measures and unit types including a standard list of

measures, unit types and enumerators

The User can;

  • Map templates to a selection of Classification systems including Uniclass 2015, NRM and Omniclass.
  • Search based upon the BuildingSMART Data Dictionary and Uniclass 2015
  • Export formats for Templates as either COBie SPie, Excel, Word or Json

Platform - AP Product Library Network

Reusable digital library of Products, their properties and manufacturers'/supplier’s details.
This can be populated by designers or contractors’ commercial teams, manufacturers or through our integration with commercial libraries such as BIMObject, BIMStore and Trimble Luckins

Products used regularly on new projects or which occur in existing buildings are managed in the Product Library so connections to potential replacements are easily made.

Other information such as spares, instructions or safety notices are easily assigned.

The Product Library automatically records which projects used which products from the Library, forming one element of the Golden Thread across a portfolio.

Platform - Asset Information Requirements Network

This is a collaborative network of asset information requirements which allows property sets to be created and saved away for reuse on individual projects, saving time and cost at project level and improving consistency at a

corporate or industry level.

Reusable digital library of asset information requirements, including Uniclass Spaces and relating Uniclass Products.

Although this was principally designed to form part of the BIM specification, it can be used in combination with the Templater to enable subject matter experts to work collaboratively to agree what information is really required and the priority placed on its collection.

Clients can define what properties they want collected and save those away as a standard and schedule attribute delivery against identified CIC work Stages

This is then used to automatically test that the required information has been provided – and if it hasn’t, it is returned to the author

Project - ActiveCOBie

ActiveCOBie allows the project team to either Import the AIR Network or create one manually. It federates the Developed Design

model with the AIR to create the PIM, which creates the required information for each work package
ActiveCOBie validates and federates COBie files and reports on level of required information completeness at each stage, providing online templates for supply chain to provide information.

It automatically validates COBie submissions and reports to the author any issues and where to correct them.

The client and their FMs can view and interact with asset information in 3D and 2D

Enables the generation of a coordinated and validated COBie spreadsheet


Reporting and dashboards

Because we hold the COBie data in SQL, it can be presented using Microsoft Power BI to provide detailed asset information in an accessible format.

Because ActiveCOBie includes a spatial model, we can generate an interactive floor plan in PowerBI making it easier to b=navigate the underlying data

Project - IMPACT

Room Data Sheets are used to both brief designers of a client’s requirements for spaces and record what the finished design has delivered.

This information is often managed in spreadsheets which is time consuming and potentially unreliable.
IMPACT is a cloud-based application that manages all elements of room data from a database of property sets related to space types. These are applied to specific projects and any changes tracked.

We have libraries for Healthcare and Education and are starting to work on a Residential set of standard room requirements.

For completed buildings, IMPACT can take the final handover data set, import it into IMPACT and use that to record any changes.


Any change to any field is tracked and recorded in an audit trail.

The database generates updated outputs into Word Templates to satisfy the format preferred by the client
– such as NHS ADB

Platform - ROOMS

Allows service providers to search for and book available rooms, based on suitability, review facility space details. Enables service-lines to find available space in local settings


Supports the integration of care – health and social.

Send out information to attendees and generate booking reports all in one process.

Record attendee numbers to obtain utilisation figures and cost for service line reporting and invoicing, identify underused and expensive property and upports service-line reporting and space cost allocation

Supports Bluetooth recording of patient attendance in each space by service line.

Platform – Asset Information Model (AIM)

The AIM could be considered the master database for Asset Information but that would not reflect modern software architecture

where data will reside in several databases, interconnected via web services.

This allows information to be used and updated by different stakeholders using their applications of choice without having to replicate the data.

The data model connects everything, allowing the best-suited application to manage each element of the data. For example, after completion, the BIM Model/drawings are used to create a spatial model in ActivePlan, which becomes the master for room


numbers. In this case, we have the location of fire dampers related to the spaces they can be accessed from.

The CAFM always relates to ActivePlan for spatial context but the CAFM has primacy of recorded works against and asset – whereas a lifecycle planning application would record the relevant condition data and use that to calculate replacement costs.

In this case, we are displaying the types of floor finish in each space and the other shows the location of fire dampers in a simple view.

Project - Digital Asset Capture

The AIM spatial model, combined with the Cloud-based Product Library can trasnform the survey proces, making it simple to capture a record of what is in each spaces and later, allow subject mattre experts to review the record and use their expertise to determine what the assetsare they can see and, importantly, make an assessment of what is likely to be there


that isn’t visible.

In this case, we have two examples. The first, a professional laser scan with combined photogrammetry, which can return


the x,y,z coordinates of any asset into the AIM spatial database.

The second is a simple 360 photograph with no ability to generate coordinates.

In both cases, the expert is clicking on assets and connecting them to the Product Library.

Platform - Procedure Library Manager

Library management application has two elements – a library for creating and managing standardized asset types and a library for creating and managing standardized procedures.

The standard types can be applied across a portfolio of sites and asset data sets and mapped to BIM objects, schedules and other data sets such as lifecycle plans.

The standard asset types can also be mapped to manufactured products in the Product Library which contains the manufacturer’s recommended procedures. These could be compared with Sodexo’s procedures for maintenance to identify any risks to warranties.

Libraries of procedures can be created and maintained e.g. SFG20 might require modifying to address inconsistencies which need to be “interpreted” or reflect certain local requirements. The Library records what changes have been made and holds this as a new version

Because the procedures are mapped against the asset types, the library can hold client or sector-specific procedure libraries and apply them to the single asset type. This helps with analysis and decision-making.

The procedure library can also be used to manage other task lists and we are exploring, with experts, areas such as T&C and CDM.

Project – LAMP Modeller

Takes asset types from CAFM, BIM model or a survey into a spatial asset information model, maps those to the relevant procedures and generates a prediction of resource requirement.

It then allows the planner to “smooth” the resource requirement by moving due dates (within constraining rules) and generates a rationalized plan that populates the CAFM/CMMS

Start-stop cycles requiring additional sub-contract operatives at peak can be minimised and space downtime can be reduced and refines the LAMP towards an optimum

The dashboard allows the management team to look at resourcing v commitment across the site and use that to inform rebalancing of labour or reprioritising of tasks. The latter might be problematic, but the alternative is to drift into mobilising without due preparation.

LAMP Modeller enables work planning to be an on-going process requiring regular refinements and reaction to events.

It avoids the risk of missing or disruption caused by completing unexpected statutory work is much reduced with a dynamic model and generates a rationalized plan that populates the CAFM/CMMS applications.

It can provide an audit-trail of plan-Works Order – Completion record tied to the Asset Information Model (dynamic floor plan).
